Contact mapping — which form field describes which person

A form submission is turned into a lead and the people on it. Which answers describe which person is set per form, in the form settings under Personen, and per field under Person.

A form without contact mapping creates nameless leads

Name, email and phone fields that aren’t mapped to a person no longer name the lead — the lead arrives with nobody on it. The forms list badges such forms with Keine Kontakt-Zuordnung. Fix every badged form before it receives traffic.

1. Define the people — form settings → Personen

The Personen section lists who a submission can describe. New forms start with the usual pair:

Per person you set:

• Label — only for the editor, e.g. “Erwachsener”, “Kind”, “Zweites Kind”.
• Hauptkontakt — exactly one person is the one the lead addresses.
• Nimmt teil — whether the lead is about this person (a Teilnehmer):
  • Immer / Nie, or
  • Wenn … a chosen field ausgefüllt ist / leer ist.

Use Person hinzufügen / Person entfernen to change the list.

The “enquiring for myself” case

Many forms have one set of child fields that adults simply leave empty when they enquire for themselves. Set the adult’s Nimmt teil to Wenn … the child’s first-name field leer ist: the adult then counts as Teilnehmer only when no child was entered.

2. Map the fields — field editor → Person

For every name, email and phone field, pick the Person it belongs to and what it holds (Vorname, Zweiter Vorname, Nachname, Vollständiger Name, E-Mail, Telefon). The field type limits the choice: an email field can only be an email, a phone field only a phone number.

3. Publish

Mapping is part of the form config. Changes apply to submissions after you publish the form. Invalid mappings (a field pointing at a removed person, two fields for the same thing) are refused at publish.

Behaviour worth knowing

• Blank people are skipped. If every field mapped to a person comes back empty — an optional second child — nobody is created for them.
• Repeat enquiries attach to the existing contact when the name and every phone number / email are already on file. See Contacts on a lead.
• Other fields (course, location, preferred day) keep mapping to pool fields as before.
